Email Filters, Quota and Vacation Replies

The Email Filters and Email Quota​ tools allow you to create email filters that act on the email coming into your Basic Email accounts, send automatic responses that are commonly used for out-of-office or vacation replies, check account quotas, perform account diagnostics and download raw mailbox files.

Vacation reply (out of office auto-reply)

vacation reply is a custom response that will be sent to a message's sender from the date it is activated until specified deactivation date. It is typically during time away from the office. Auto-reply keeps track of senders and sends a response only once per sender. The auto-reply will try to reply only to individuals and not to mailing lists. A deactivation date can be set for the auto-reply to expire automatically in the morning on a given date. Vacation replies are controlled through the Email Filters page.

Email f​ilters

The Email Filters tool allows you to create email filters that act on the email coming into your Basic Email accounts, send automatic replies that are commonly used for out-of-office vacation responses.

Custom email filters

Filter messages based on SubjectSenderTo and From header fields, or any content in the body of the message. Use an optional second criterion for additional distinction. Applicable actions include:

  • Store message in a given folder.
  • Forward to another email address.
  • Delete message.
  • And/or pass to any filters that follow.

Attachment filter

Filter messages based on the presence of an attachment, with or without a specific document extension. Applicable actions include:

  • Store message in a given folder.
  • Tag for further processing in an email client.

Auto-purge

Use auto-purge rules to automatically delete messages from a folder after a certain number of days. 

Spam filters

Choose to tag spam messages or automatically filter them to a spam folder. You can choose to use a more aggressive spam filter and add email addresses to a whitelist. Whitelisting an email address will allow it to bypass your spam folder for emails that are getting erroneously marked as spam. You can manage your whitelist under Anti-spam settings on the Email filters page.

Email quota

The Email Quota​ tool allows you to check account quotas, perform account diagnostics and download raw mailbox files.

  • Quota utilities:
    • View total account usage and quota.
    • View mail folder usage and optionally delete entire mail folders.
    • View top ten largest messages in each folder (includes message Subject, Sender, Date and size).
  • Reset your IMAP connections or clear the POP download cache.
  • Download entire mail folders in .mbox format for archiving. To view the downloaded mail folder, import the file into a desktop email client. For archiving email on your computer, we recommend instead that you install and configure a desktop email client first, then connect and drag and drop specific folders to the local folders section of your email client. This can also be done if your are nearing 100% quota so that you may delete the folders in your inbox once you have made a local backup.
  • The quota tool can be used to view the top ten largest messages in any given folder, which tend to be emails with very large attachments. Downloading and archiving these attachments then subsequently deleting that email from your inbox can drastically increase the amount of free space your account has.
